Job Overview - General Summary:
The Accounting Associate candidate will support the day-to-day financial operations of the company, ensuring accuracy and efficiency in all accounting tasks. This role is crucial in maintaining financial records, supporting audits, and assisting with the preparation of financial reports. The Accounting Associate will work closely with other departments to ensure that all financial transactions are accurately recorded and compliant with industry regulations.
Key Responsibilities:
Cash Management:
- Perform daily reconciliation of all cash and cash-related activity, including sales receipts, deposits, and disbursements.
- Monitor and manage cash flow, ensuring adequate liquidity for operations.
- Collaborate with retail and cultivation teams to ensure accurate reporting and handling of cash transactions.
Accounts Payable:
- Process vendor invoices, ensuring accuracy and compliance with company policies.
- Conduct weekly check runs to ensure timely payment of invoices.
- Reconcile accounts payable sub-ledger to the general ledger.
- Maintain accurate records of all payments and monitor vendor balances.
Accounts Receivable:
- Monitor and follow up on outstanding accounts receivable.
- Prepare and send out customer invoices and statements.
- Assist in the preparation of aging reports and coordinate with sales teams to resolve payment issues.
- Reconcile accounts receivable subledger to the general ledger.
Financial Reporting:
- Assist with the preparation of monthly, quarterly, and annual financial statements.
- Provide support during audits and tax filings by ensuring documentation is complete and accurate.
- Prepare ad hoc reports as requested by management.
Compliance and Regulatory:
- Ensure all financial practices adhere to cannabis industry regulations and company policies.
- Assist with the preparation and filing of state and local tax returns, including cannabis-specific taxes.
Inventory Management:
- Collaborate with the inventory team to ensure accurate tracking and reporting of cannabis inventory.
- Participate in periodic physical inventory counts and reconcile discrepancies.
Operational Support:
- Provide financial insights and support to other departments as needed.
- Assist in budgeting and forecasting activities.
Qualifications and Requirements:
- Bachelor’s degree in accounting, finance, or a related field (or equivalent experience.)
- 1-3 years of experience in an accounting role, preferably in the cannabis industry or a highly regulated industry.
- Advanced proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite, particularly Excel.
- Strong understanding of GAAP and experience with financial reporting.
- Familiarity with cannabis industry regulations and tax compliance is a plus.
- Excellent attention to detail, organizational skills, and the ability to manage multiple tasks simultaneously.
- Strong communication and interpersonal skills.
- Strong ethics. High degree of accuracy.
- Ability to work independently and as part of a team
- Knowledge of IRS Tax Code 280 E is highly preferred
- Manufacturing job costing and/or retail experience a plus.
- Previous accounting experience in the cannabis industry is a plus
Working Conditions:
- Office environment with occasional visits to cultivation and retail facilities
- Must be able to work in compliance with cannabis industry regulations
- May require occasional evening or weekend work to meet deadlines
